LZACC Administrative Assistant Job Overview

Title: Administrative Assistant

Reports to: Executive Director

Est. Hours:   20 hrs/week; Monday – Thursday 10 am – 3 pm; additional hours may be needed for 3-4 annual events that land on weekends or after business hours

Hourly range: commensurate with experience

Essential Job Functions

  • Opens and closes office Monday – Thursday 10 am – 3 pm
  • Answers phones/emails
  • Greets visitors to Chamber office
  • Keeps office organized and cleaned; orders supplies
  • Prepares new member and potential member informational packets and potential and delivers as needed
  • Researches new businesses in the area for membership outreach
  • Assists with new member onboarding
  • Delivers member appreciation gifts; prepares thank you cards
  • Logs incoming payments; processes monthly invoicing; calls on past due members 
  • Maintains records and files
  • Updates database – adding new and moving old plus reviewing engaged and non-opens 
  • Liaison to vendors, sponsors, volunteers
  • Secures event meeting locations and catering
  • Prepares materials and manages registration at events
  • Prepares copies for meetings, events and front office as needed
  • Prepares meeting minutes as requested
  • Performs additional duties upon request from Executive Director

Required Abilities

Required Abilities:

  • Must be organized and able to work on multiple tasks simultaneously
  • Must work effectively with volunteers, members and the general public
  • Must be able to communicate effectively both orally and in writing
  • Must have working knowledge of computer systems and software, specifically Microsoft programs
  • Able to occasionally work early mornings, evenings and weekends as needed for events
  • Requires light to moderate lifting and transportation to and from events/meetings
